Gradebook Learner Profile Screen

To get a complete view of each learner in your class the Learner Profile screen brings all their information together in one place. Notes, learning, social and emotional needs along with their ILP (individual learner plan) are accessed from this screen along with the ability to take action. You can add notes, message teachers and add progress notes.

Let's look at how to use the Learner Profile screen in the Gradebook.


How to access the Learner Profile Screen

Click the View and Edit button in the Gradebook and then click on the Learner Profile option from the menu. This is located under the Learner section.

This displays the Learner Profile screen. The screen is laid out with a left column and a main column. Each column is then made up of sections which contain information on a particular context for the learner.


How to use the Learner Profile Screen

Selecting a Learner

To begin using the screen you first need to select a learner from the class. If you have previously selected a learner you will see their name and photo displayed. You can change the learner by clicking on them to display the Select a Learner screen.

Simply click on a learner to highlight them and then click the Select button to display their Learner Profile.

Notes

One of the most common actions is recording a note. Notes are added for various reasons such as a teacher observation where a learner might be acting out, not turning in their work or not engaging with their peers. Other situations such as a phone call home, a meeting with parents or a message in a journal are among other reasons you might want to record a note.

Now, you have instant access to record, organise and store notes in one central place inside SchoolWise. Right here on the Learner Profile. This is the same as adding a note from the Dashboard.

Simply click on the Add a Note option. This displays the add a note screen.

You then need to give the note a Title and complete the details of the Note. You optionally can provide a category but we would encourage you to provide one. This makes it easier to search for notes later. We would also encourage you to use the categories already provided rather than creating new ones each time.

If you would like other teachers who also have the learner in their class to be able to view your note then toggle the Viewable by Class Teachers to green. Once you are done click the Create button to save your note.

Message Teachers

Messaging only those teachers who have the learner in their class has never been easier. SchoolWise retrieves a list of teachers from the learners' timetable and automatically adds them to the recipients of the message. You only need to click the Message Teachers button.

You then need to provide a Subject for the message along with details of the Message. You optionally can send a copy of the message to another role by setting the toggle to Green. In this example, I have set the Send a copy of this message to Year Heads. In this instance, the message does not go to all year heads, only those assigned to the learner.

Once you are done click the Send button. The message immediately goes to the teachers of the learner and anyone from the roles you selected. The message is delivered to their SchoolWise Message Center inbox. If a recipient does not read the message, it is included in the end-of-day email which is delivered to their email inbox. This way nothing goes unmissed.

Message a Year Head

This works the exact same way as the Message Teachers option. Instead of you having to remember the year head or switch to another application to find out, you click the Message Bubble next to the year head. The year head is automatically added to the recipient list.

Viewing an ILP (Individual Learner Plan) and Adding a Progress Note

If the learner has an ILP, it will be listed in the main column of the Learner Profile. A learner can have multiple ILP's. Simply click on the plan to view it.

The ILP is broken into three main sections which are, Information Gathering and Concerns, Planning and Intervention, and Monitoring and Review. Each section contains Details and the ability to View more information such as learner targets.

Located at the bottom of the plan is the ability to add progress notes. Click on the Add a Progress Note button.

You then need to provide a Date for your progress note along with details of the Note. You optionally notify the coordinator and lead teachers for the ILP. This lets them know you submitted a progress note. Once you are done click Save.
