How to use the View and Edit screens in the Gradebook

Printing reports, exporting to Excel to filtering assessments. This article covers all the options when using the View and Edit screens

You can fully customise any of the View and Edit screens in the Gradebook to generate reports that you can print to PDF, export data to Excel or set options when you need to share information with parents or colleagues at meetings.

Searching across academic years, filtering assessment data or even colour-coding grades are all available to you. Let's jump in and explore how to use the View and Edit screens.


Printing and Exporting

You can print or export any of the View and Edit screens in the Gradebook. Click on the Print button to view the options.

Print to PDF

This will download a printable PDF of the screen to your browser or device. You should receive a notification on your device depending on the browser/application you are using.

Export to a file

This option will export the data contained in the grid to a CSV file (spreadsheet). This file can be opened with Microsoft Excel or Google Sheets. The grid which looks like a table is on all screens in the View and Edit menu. This is an example from the Learner Performance screen. When you use the Export to a File option, the data in the grid below will be contained in the file.


Timeframe filters

The Timeframe filters allow you to view assessments for a given time period. The default timeframe is This Year. The Timeframe filters are always located under the navigation buttons on the right-hand side of the screen.

Note: When you select a Timeframe on any of the View and Edit screens, the timeframe will apply to all other screens until you change it.

The selected Timeframe is indicated by a red underline and bolded text. To change a timeframe simply click on it. Let's look at the available options.

All Time

This retrieves all the assessments available in SchoolWise in your subject, for all learners in the class. For example, if you have a Sixth Year English class and click All Time, you can view assessments all the way back to First Year provided the assessment data is in the platform. If you have a Fifth Year Economics class and click All Time, since this may be a senior cycle subject only, it would show only the current year.

This Year

Selecting this timeframe will display assessments for the current academic year only. This is the default option when you first visit the Gradebook.

Last Year

This displays assessments for the last academic year. This is useful especially if you did not have the class in the previous academic year or want to look back and see how they performed.

Custom

The custom timeframe enables you to define a timeframe that can span over multiple academic years or a portion of an academic year. You simply set a Start Date and an End Date to retrieve the assessments from that period.


Assessment Filters

If you need to filter by the type of assessment this is where the Assessment Filter comes in. You can adjust the screen to only display assessments for a selected type.

The assessment type drop-down has the following options;

Assignment

If you are using SchoolWise for assignments or you import assignments from another application such as Microsoft Teams or Google Classroom, you can filter them using this option.

Task / Activity

Any assessment that you enter directly through the Gradebook or any summative assessments that are imported from your school MIS/SIS system will be displayed here when you select this option.

Schoolwork

If you need to display assessments based on who turned in their work and who did not, then this is the option you select. You can add Schoolwork from the Add or Import option when adding a Gradebook.

Linked to Curriculum Planner

If you use the Curriculum Planner in SchoolWise to plan your units of learning, you can align any of your assessments to these units or more specifically, learning outcomes. Checking this box will filter assessments where you have linked an assessment to an outcome.


Options

Each screen may have additional Options that you can apply to a screen. The Options button is always located under the Timeframe filters on the right-hand side of the screen.

The options available on each screen will differ and will depend on the context of the screen you are viewing. In the example below from the Class Summary assessment screen, let's look at the options available.

Exceeds if over average

This adjusts the colour coding on the report where you see the Light Green colour to indicate a learner has exceeded the class average for an assessment. Adjusting this slider to increase the percentage will adjust the colour coding in each cell to indicate which learners had exceeded the class average by the value you set.

Set to teachers' target grade

When you use the Settings button on the Gradebook Dashboard to set a teacher target grade for each learner, you can adjust the colour coding on the screen to use this value to determine the colour of a cell rather than a class average for the assessment.

This quickly shows you if learners are hitting their target grade or not and may inform your decision to adjust this grade or not. You can adjust the target grade directly on the Class Summary assessment screen.

Normalise Grades

When you use different grading scales for an assessment, it can sometimes make it difficult to view a screen especially when there are a lot of assessments displayed. Setting this option will convert all the grading scales to use a percentage. This is especially useful on the Learner Performance screen if you share this with parents.

Display Level

This determines if the subject level is displayed on the screen or not.

Display Teacher Target Grade

Determines if the teacher's target grade is shown on the screen or not.

Display Learner Target Grade

Determines if the learner's target grade is shown on the screen or not.

Display Differentiation Band

Determines if the learner's target differentiation band is shown on the screen or not.
